STEP 3: TRIP REGISTRATION & ONLINE ACCESS
Once you confirm your reservation dates with the Helfrich Staff, you will receive your own trip reservation link to help you manage your reservation and access all of the important trip information online. You will also use this link to complete your trip registration and liability waivers. This link will give you access to the private trip photo-sharing site and message board as well so that you and the other guests on the trip can share your photos videos and questions with each other.
STEP 4: PAYMENTS
Multi-day Trips: Reservations for multi-day trips are held with a $500 per person initial deposit. At 8 months prior to the trip, the remainder of the first 50% is due. Trips booked less than 8 months prior to the trip (but more than 90 days) will require a 50% deposit. Your final payment (the second 50%) will be due 90 days prior to the trip. Trips booked within 90 days of the trip date will require full payment.
One-Day Trips: Trips booked in advance are held with a 50% deposit payment. Full payment is due 90 days prior to the trip start date.
TRIP INSURANCE:
Our goal is to provide each of our guests with a safe and successful river experience. For this reason, Helfrich Outfitters highly recommends that all of our guests purchase travel insurance to cover the cost of their trip. It is important to remember that trips operated in the wilderness always run a higher risk of cancellation due to natural events such as wildfires, water levels, road closures, or other conditions beyond our control that can make the area uninhabitable or inaccessible. Travel insurance will protect your investment in this trip if we were to be faced with one of these unfortunate scenarios. Trip insurance can also provide you with lots of important protection including emergency evacuation, lost luggage coverage and cancellation due to a personal, family or medical emergency. Policies can also cover you if you decide to change your plans and not attend the trip for any reason. To get more information please go to travelguard.com and click on “get a quote”. Policies are typically 3-5% of the trip cost and quotes are based on client age, trip cost, state of origin, etc.
CANCELLATION POLICY:
We understand that things can happen and sometimes it is necessary to cancel your upcoming river trip. If you do need to cancel, please notify the HRO office staff in writing. Please make sure that you get confirmation from an HRO staff member that your cancellation has been processed. Helfrich River Outfitters is unable to refund any payments however if you are able to find someone to take over your reservation within two weeks of cancelation, we will gladly offer you a full refund on your trip. Due to our commitment to our guides, contractors and vendors we are regretfully unable to make exceptions for personal or family emergencies. For this reason, we highly recommend that guests purchase a trip cancellation insurance policy for their trip. LIABILITY WAIVER:
Each guest is required to sign a standard liability release/assumption of risk form prior to the start of the trip. This form represents acknowledgment, awareness, and acceptance of possible risks associated with the trip. Liability waivers can be signed electronically through your personal online reservation link.
MEDICAL:
For safety reasons, weight restrictions may apply. Many of our trips take place in remote wilderness areas. Guests should be healthy enough to take part in some physical activity. Guests with special medical conditions including but not limited to, heart conditions, pregnancy, substantially overweight, or limited mobility should consult with their physician before taking a river trip. People with disabilities are welcome as long as a river trip is within their capabilities. We are happy to provide you with extra assistance on the river. Please call and discuss all special requirement requests with us prior to making your reservation.
